End-of-year staff gifts for an NGO in Juba work best when you plan two groups from the start: staff who will be in the Juba office on handover day, and staff who will be travelling or posted in the field. Choose portable, non-perishable gifts that both groups can use, agree the per-head figure with finance before anyone looks at products, and give MistaGift the count for each group. Ordinary Juba requests need at least three days' advance notice; customised, branded and larger orders get a lead time confirmed separately with your quote.
Start with the budget line, not the gift
If your team funds staff appreciation from a specific budget line, the rules for that line belong to your organisation and, in some cases, your donor. We do not advise on those rules. What helps is to settle three things with your finance or operations team before asking for options:
- The approved figure per head, and whether delivery is inside or outside it.
- Who counts as staff for this gift: national staff, international staff, drivers, guards, cleaners, consultants on long contracts.
- Whether gifts are allowed at all for certain roles. Our guide on corporate gift acceptance policies in Juba covers the questions to ask.
With those answers, one quote can go straight to approval.
Office staff and field staff need different things
Office staff can receive a boxed set on a set day, handed over at a team meeting or end-of-year gathering.
Field staff may not be back in Juba until January. For them, think about what survives a bag and a long road: items that are compact, sealed and not food. Our guide to non-food corporate gifts in Juba sets out directions that travel well.
You can still give both groups the same gift. The difference is in packing and timing: field gifts may need to be held at the office and handed over on return, with a named person responsible.
The handover plan
For each group, agree:
- Where the gifts are received (office address, floor, named receiver and phone).
- When they are handed over, and who signs for them.
- What happens to gifts for staff who are away: held, sent on with a colleague, or handed over in January.
If your organisation also runs conferences or delegate events, the NGO conference packs guide covers packs designed for travelling participants.
Timing
Ordinary Juba requests need at least three days' advance notice. That notice does not by itself promise delivery within three days; customised, branded and larger orders have a lead time confirmed separately with your quote. Our planning guide for Juba lead times explains how to build the request backwards from your handover date.
Orders are confirmed only after payment is received.
What to send us
The full checklist procurement teams use is in our Juba corporate gifts procurement brief. For an NGO year-end order, the short version is:
- total headcount, split into office and field;
- the approved per-head figure;
- handover date and location;
- the name and phone number of the person receiving the delivery;
- any items your policy rules out.
Questions people ask
Can an NGO give staff end-of-year gifts? That depends on your organisation's policy and, in some cases, donor rules. Confirm with your finance team first; once you have an approved figure, we can quote against it.
What gifts suit field staff who travel? Compact, sealed, non-food items that fit in a bag and stay useful. See our non-food corporate gifts guide for Juba.
How much notice does a Juba order need? At least three days for ordinary requests. Customised, branded and larger orders get a lead time confirmed with the quote.
Can field staff receive their gifts later? Yes. Agree in advance who holds the gifts and when they are handed over.
Send the headcount, the office and field split and the approved per-head figure on WhatsApp +256 759 633 013. Orders are confirmed only after payment is received.
